Steps for Admission and Enrolment
This is a more detailed version of the Quick Steps to admission and enrolment on page 2 and 3 of your Enrolment Guide . Accept your offer
Congratulations again on being offered a place at James Cook University (JCU). To ACCEPT your offer, you need to complete and return your Offer Acceptance form (Acceptance and Payment Agreement form for international students) which can be found in your JCU Offer Pack. Your Offer Acceptance form must be received by JCU before the offer lapse date. (Please make sure you allow adequate postage time for your Offer Acceptance form to reach JCU by the due date.)
Queensland Tertiary Admission Centre (QTAC) applicants must also accept their offer by following the advice given in the QTAC Letter of Offer by the due date.
Lodge your electronic Commonwealth Assistance form (if applicable)
Check the fee liability listed on your Offer Schedule (found in your JCU Offer Pack) to see if this step applies to you. If you are an international fee paying student, you are not eligible for Commonwealth assistance so proceed to Step 3.
If you will be studying at JCU as a Commonwealth supported student (that is, the fee liability indicated on your Offer Schedule is C’Wealth Supported), you need to submit an electronic Request for Commonwealth support and HECS-HELP form (eCAF). This is a requirement of the Australian Tax Office and you cannot be admitted to your course until it is successfully submitted and approved.
If your fee liability shown on your Offer Schedule is Dom Tuition Fees (i.e. Domestic Tuition Fees) and you are an Australian citizen or a permanent humanitarian visa holder enrolled in an award course, you can choose to defer payment of your domestic tuition fees by requesting government FEE-HELP assistance. To defer payment of your fees you must submit a valid online Request for FEE-HELP assistance form (eCAF) by the census date of your enrolled subjects. You will need your Tax File Number to complete your eCAF.
Before submitting your eCAF, you must read the government publication provided in your JCU Offer Pack or visit www.goingtouni.gov.au for more information.
To submit your eCAF, log in to the Getting started at JCU webpage using your JCU student number which can be found on your Offer Schedule.
Follow the prompts until you reach the Complete your eCAF page. Once you have read the instructions on the page, click Connect to eStudent and complete the appropriate eCAF. Many of your details will already be included on the form. Check your personal details carefully and amend if necessary. Complete the remainder of the form and submit for approval. Your eCAF will normally be assessed once your Offer Acceptance form is received by the University. Approval may take up to ten working days to process; if you are offered a Commonwealth supported place, you cannot be admitted to your course until approval is received.
Check the progress of your eCAF and if you’ve been admitted to your course by logging in to Getting started at JCU . If you are unable to submit an eCAF online, or experience lengthy delays in this step, please contact the Student Enquiry Centre.
Plan your Study
It is important that you spend time planning before going online to enrol. Do not rush this step – we recommend you spend several days thinking about your subject selection before enrolling online.
Some course structures consist of a fully prescribed list of core subjects, while others offer the flexibility for you to choose from a range of major types, majors, options and electives. If undertaking undergraduate study, not only is your Course Enrolment Planner essential to plan your study, but also the best place to start. You can also check the requirements of your course in the JCU Course and Subject Handbook.

If you are having difficulty in using eStudent, and need some help, go to the Student Enquiry Centre for help during Orientation Week (9.00am – 4.45pm).
Check you're admitted and activate your computer account
Once your Offer Acceptance has been received by the University, and for Commonwealth supported students, your eCAF has been approved, you will be admitted to your course. Check Getting started at JCU for confirmation of admission to your course.
If you experience lengthy delays in this step please contact the Student Enquiry Centre or, if you are an international student, contact the International Student Centre. If you returned your form by mail, you should allow sufficient time for postage to reach JCU and 10 working days processing before being concerned.
JCU provides a range of computer facilities and services for students. To access these facilities you need to obtain your JCU computer username and your JCU email address from Getting started at JCU (after you have been admitted to your course). You will be required to change your password at this time. Make sure you keep a copy of this information in a safe place. Remember to keep it confidential.
Enrol in your subjects through eStudent
eStudent is the portal to your JCU record and allows you to manage your personal details, payments for student contribution amounts and/or tuition fees, as well as your enrolment in subjects.
You can login to eStudent directly or through Getting started at JCU .
Confirm your details
Before you can start enrolling in subjects, you are required to confirm your cultural, disability and citizenship details in eStudent. Accurate personal details are a requirement of enrolment and in some cases are required by Department of Education, Employment and Workplace Relations (DEEWR) for statistical purposes. Click on each of the sub-menus under My Details and check the recorded information. Depending on whether the details are correct, you will need to confirm them, or make necessary changes. Click on the appropriate I want to… button on the screen.
Address details
While most official JCU communication is sent to your JCU email address, any hard-copy correspondence from JCU will be sent to the address you have nominated as your preferred mailing address in eStudent. Check your address details indicated under My Details carefully, and make any necessary changes. In particular, JCU requires you to provide:

Provide your semester residential address (once it is known),

Nominate your preferred mailing address, and
-
Provide the name, phone and address details of your nominated emergency contact person.
Please note that it is a student visa requirement for all international students to provide a semester residential address within seven days of arrival in Australia.
Enrol in your subjects
You can enrol in subjects only for the current calendar year and from November/December for the following year.
Under Enrol Online in the left hand menu, select Study Plan Details. Once you are ready to start enrolment, click the Commence Enrolment button.
Your course may require you to choose a single (or double) major. See your Course Enrolment Planner(undergraduate) or JCU Course and Subject Handbook for more information. You may need to choose your major type before selecting your major/s.
Begin enrolling by adding planned subjects to your Potential Enrolments List (your enrolment ‘shopping trolley’).
To view your Potential Enrolments List and to enrol in the subjects, click the academic hat icon at the top right of the enrolment pages.
Once you have added the core subjects for the year, begin adding option and elective subjects. You will need to select the availability (attendance mode, location and study period) for each subject. You can add more subjects to your Potential Enrolments List by repeating this process, or proceed to enrol in the subjects you have added to your Potential Enrolments List.
YOUR ENROLMENT IS YOUR RESPONSIBILITY! When you have completed enrolling in subjects, check Current Enrolment to ensure you have enrolled successfully.
You should plan ahead to ensure you are enrolled in your subjects before the start of the study period. If you do not enrol in a study period until after it commences, you will incur a late enrolment fee of $30.00.
Get your JCU Student ID Card
As an enrolled student at JCU, you will be issued with a free JCU student identification (ID) card. This card allows you to:

borrow books from the library

provide proof of identification when discussing your enrolment with JCU staff

identify yourself when attending exams, and
-
access buildings and computer labs.
Look after your student ID card and do not lend it to anyone. If you require a replacement ID card, you may have to pay a fee.
ID cards for new students studying on campus
Your student ID card will be produced during Orientation Week (refer to your Orientation Program for details). To obtain your JCU student ID card you will need to be enrolled in at least ONE subject, present your Offer Schedule and photo identification (e.g. driver’s licence or passport).
ID cards for off-campus students
If you are studying off-campus, you can request an ID card by completing and submitting a Request for S tudent Identification Card form and hardcopy photograph to the Student Enquiry Centre (Townsville or Cairns). The photograph must be certified on the reverse by a Justice of the Peace or an acceptable certification body.
That's it! Once you have completed these steps, you are well on your way to start your study when teaching begins.
