Staff roles and management

Access to LearnJCU subject sites

  • Access for staff in a teaching role
    Subject Coordinator, Educator, Tutor
    Access is controlled by the Teaching Roles Database (TRDB). Teaching staff details are entered into the TRDB by your College's Academic Services Team.
    Please note: Subject Coordinator and Educator entries must be approved by your College’s TRDB Approval Delegate.

  • Access for staff in a non-teaching role
    Site Editor, Site Viewer
    Access can be granted for multiple subject sites in an organisational unit. Non-teaching staff are granted access by way of an Organisational role at College or Divisional level which is entered into Staff Online by your Role Administrator.

  • Access to LearnJCU is updated within minutes of role changes being approved.

LearnJCU roles

A Subject Coordinator will automatically have access to LearnJCU if they are correctly listed in the Teaching Roles Database (TRDB) for each subject.

Apply or edit

  • In StaffOnline > TRDB
  • By the College's Academic Services Team

Role functionality

  • Teaching role
  • Full editing access to the LearnJCU subject site and student data.
  • Access to YourJCU data for the subject and their own teaching evaluations.
  • Access to Class Lists.

An Educator will automatically have access to LearnJCU if they are correctly listed in the Teaching Roles Database (TRDB) for each subject.

Apply or edit

  • In the StaffOnline > TRDB
  • By the College's Academic Services Team

Role functionality

  • Teaching role
  • Full editing access to the LearnJCU subject site and student data.
  • Access to YourJCU data for the subject and their own teaching evaluations.
  • Access to Class lists.
  • Subjects linked to profile on the Research Portfolio webpage.

A Tutor will automatically have access to LearnJCU if they are correctly listed in the Teaching Roles Database (TRDB) for each subject.

Apply or edit

  • In the StaffOnline > TRDB
  • By the TRDB Administrator, Subject Coordinator or Lecturer

Role functionality

  • Teaching role
  • Full editing access to the LearnJCU subject site and student data.
  • Access to YourJCU data for the subject and their own teaching evaluations.

The Site Editor is a non-teaching role applied to College or Divisional staff who manage subject content and student data on behalf of academic staff.

Apply or edit

  • In StaffOnline > ORGU Roles (LearnJCU Site Editor)
  • By the Role Administrator (Division or College)

Role functionality

  • Non-teaching role (Divisional or College staff)
  • Full editing access to the LearnJCU subject site and student data.

The Site Viewer is a non-teaching role applied to College, Divisional or Adjunct staff who do not manage subject content or student data but can interact with students as a guest.

Apply or edit

  • In StaffOnline > ORGU Roles (LearnJCU Site Viewer)
  • By the Role Administrator (Division or College)

Role functionality

  • Non-teaching role
  • Read-only view in LearnJCU subject site.

The Course Builder role is reserved for use by external instructional design and web development staff. Course Builders are added by the Learning Environments team.

Role functionality

  • Non-teaching role (External staff)
  • Full editing access to the LearnJCU subject site

Confirm you have been added to the subject in the Teaching Roles Database (TRDB) by your College’s Academic Services Team.
