Salary Packaging Program Procedure

Intent

This Procedure has been established to enable the operation of the Salary Packaging Program Policy for Staff Members of James Cook University (JCU; the University).

Scope

This Procedure applies to all continuing and fixed-term Staff Members covered by the JCU Enterprise Agreement.

Definitions

Except where otherwise defined in this procedure, definitions for terms used in this procedure are located in the Human Resources Policy Glossary.

Procedure

1. Entering into a salary packaging agreement

1.1 A Staff Member who is interested in salary packaging should review the relevant information available on the Salary Packaging Administration Suppliers and Novated Leasing Service Providers webpages. These documents provide detailed information about the salary packaging benefits available to Staff Members of JCU.

1.2 After reviewing the Salary Packaging Program information, any Staff Member who would like to enter into a salary packaging agreement (excluding superannuation) should contact either of the Salary Packaging Administration Suppliers or any of the 10 Novated Leasing Service providers directly.

1.3 The Staff Member will need to establish a salary packaging administration account with their chosen Salary Packaging Administrator by contacting them directly and completing their required processes.

1.4 Any Staff Member who would like to enter into a salary packaging agreement relating to superannuation should make application via Service Now.

1.5 Where a pay deduction received does not match the benefit/expense, JCU will recover or reimburse any gap.

2. Amending a salary packaging agreement

2.1 If a Staff Member wishes to amend their salary packaging agreement (excluding superannuation), or where the Staff Member’s work arrangements may impact the agreement (for example, if they are participating in leave without pay), the Staff Member must contact their salary packaging provider directly.

2.2 A Staff Member who would like to amend a superannuation salary packaging agreement must do so via Service Now.

3. Ceasing a salary packaging agreement

3.1 Where a salary packaging agreement (excluding superannuation) is due to conclude, or if the Staff Member is ceasing employment with the University, the Staff Member must contact their salary packaging provider directly.

3.2 A Staff Member who would like to cease a superannuation salary packaging agreement must do so via Service Now.

3.3 A superannuation salary packaging agreement will cease automatically when the Staff Member ceases their employment with the University.

3.4 Any outstanding amount for salary packaged items must be cleared prior to the termination payment being processed.
