Intent

This Policy describes the arrangements for James Cook University’s (JCU; the University) Convocation, as established under section 33 of the James Cook University Act 1997 (the Act). This Policy is to be read in conjunction with the Act.

Scope

This Policy applies to members of the Convocation of JCU, and activities associated with the Convocation.

Definitions

Except as otherwise specified in this Policy, the meaning of terms used in this Policy are as per the Policy Glossary.

Alumni means any persons who have been granted Australian Qualifications Framework Level 7 degrees or other academic awards of James Cook University or any of its predecessor institutions.

Convocation – a broad assembly of stakeholders of the University. It is often also referred to as the Alumni Association as defined in this Policy.

Communication – includes electronic communication.

Predecessor institutions – means the Townsville College of Advanced Education and the University College of Townsville.

Principles

The University seeks to:

  • maintain links, foster continued involvement with University activities and communities and recognise the achievements of alumni and Convocation members;
  • promote the formation of alumni and other Convocation communities and chapters; and
  • facilitate the nomination of honorary award recipients, which shall be signed by not fewer than three members of Convocation, in accordance with the Honorary Awards Procedure.

Policy

1. Membership

1.1 The Convocation of the University consists of the following:

a. all graduates of the University, regardless of home campus location, and all graduates of the University’s predecessor institutions;

b. all current and former students of the University who have completed a minimum of 9 credit points;

c. graduates of the University of Queensland who, while undergraduates, were enrolled for at least three years at the University College of Townsville;

d. all recipients of honorary awards of JCU or any of its predecessor institutions;

e. all current and former members of the Council of the University and its predecessor institutions;

f. all current and former members of University staff (excluding JCU Brisbane), including academic and professional and technical staff;

g. all philanthropic donors to the University.

1.2 A person automatically becomes an active member of Convocation when they meet the eligibility criteria detailed at clause 1.1.

1.3 Convocation membership will become inactive upon advice from the member that they no longer wish to receive communication from the University, or if the member’s contact information is not current, or if they are deceased.

1.4 Inactive members may reactivate their membership at any time by contacting the University.

1.5 Any member of the Convocation may resign from membership by providing an electronic notice to alumni@jcu.edu.au .

2. Meetings, Powers and Functions of the Convocation

The Convocation of the University has no powers or functions, does not hold meetings or conduct proceedings.

3. Roll of Convocation Members

3.1 Convocation membership is managed by several directorates across the University, dependent on membership type, as detailed in the table below.

3.2 Responsible Directorates will maintain all relevant information about a Convocation member’s membership as appropriate. All personal information is to be stored in accordance with the University’s Information Privacy Policy and Information Privacy Statement – Collection, use and disclosure of personal information.
