Plan your study

It is important that you spend time planning your enrolment before going online to enrol. Do not rush this step – we recommend you spend several days thinking about your subject selection before enrolling in your subjects online. You need to jot down the following details for each subject you want to enrol in:

  • the attendance mode – how the subject is delivered e.g. internal, external, block, limited or placement/work experience

  • the study period - when you intend to study

  • the location (campus) – where you will be studying at

If, after checking the above resources, you still have questions regarding your subject choices or your progression through your course, you will need to visit your Faculty Office (Townsville) or the Student Enquiry Centre (Cairns).

The more time you spend planning, the easier enrolling online will be!

Eligibility to enrol

You should check that you have no sanctions, such as an outstanding debt with the University that will prevent your online enrolment in subjects. You can do this through eStudent by clicking on the My Sanctions link in the My Details tab. If you have a sanction, the online eStudent help documentation has information on types of sanctions and the processes to follow for removing them.

Some sanctions will prevent any enrolment, others will only prevent you from enrolling online, in this case email your Faculty Office from your JCU email account.

Enrol in your subjects

You can only enrol in subjects for the current calendar year, and from November/December for the following year. Keep an eye on your JCU email address for information about enrolment due dates.

You can enrol in your subjects through eStudent. Once you are ready to start enrolling, go to the My Study Plans tab, and click on the I want to…Enrol in components button.

Your course may require you to choose a single (or double) major. See your Course Enrolment Planner (undergraduate) or JCU Course and Subject Handbook for more information. If it’s time to choose a major, you may need to select and expand structure for your major type first (single or double) and then choose the discipline area/s. This is explained under My Study Plans in eStudent Help. Note: not all courses include majors, most are chosen in 2nd year and once saved you can’t change them online. To change major you need to email your Faculty Office from your JCU email account.

Some of your subjects may be under an Option line e.g. 6CP of undergrad subjects – Level 1, 2 and 3.Look for the O (for Option) icon, select the Choose link on the far right to make your choices.It is useful to identify which option line you need to chose your subjects from and note this on your planner before you start. You can use wildcards to refine long subject lists in eStudent, but when you complete your Course Enrolment Planner first you will find it faster to simply type the subject code in.

Your core (C icon) subjects will already be on your study plan.

For each subject you wish to enrol in, you need to chose a specific availability (the how, when and where).If there is only one valid offering of the subject this will already be selected for you, otherwise use the dropdown box to make your choice.Then tick the Enrol box to the right of the subject details.You can choose all of your subjects to enrol at once, then select the I Want To… Proceed to enrol link at the bottom of the page, and finally, confirm your enrolment.Check the progress line at the top of your screen if you are unsure where you are up to.

You will notice that not all subjects on your study plan are available to you right away.There are various reasons for this, for example the subject may not be offered this calendar year, online enrolment may not be available for that subject and you generally need to finish subjects in each year level before proceeding to the next.You may have a pre-requisite requirement to meet first.

If you have not met the pre-requisite requirements for the subject you will have a Request Requisite Waiver link beside the subject on your study plan. You can use this link to request a waiver if you believe you have just cause.

YOUR ENROLMENT IS YOUR RESPONSIBILITY!

When you have finished enrolling in subjects, or making changes to your enrolment, always check Current Enrolment to ensure you have enrolled successfully.

Plan ahead to make sure you start enrolling in your subjects before the due date, and certainly before the start of the appropriate study period.

What if I need help using eStudent?

If you are having technical problems, or have forgotten your JCU username and password, contact InfoHelp.

Some students are not permitted to enrol online for various reasons. These students are notified by email and will need to submit a Request to Re-enrol form to enrol the following year. This form is sent to the preferred mailing address of the relevant students when enrolment opens for the following year. To change enrolment during the year, these students must submit a Request to Vary Enrolment form. Please email the Student Enquiry Centre to email you this form (always use your JCU email account as proof of identity).The return address is on the bottom of the form.

Check your enrolment

After completing your initial enrolment, you will be able to make further changes, including adding and withdrawing from subjects through eStudent. Every time you make a change to your enrolment you should confirm that the details are correct through the My Study Plan menu by clicking on Current Enrolment.

If you are not permitted to enrol online and your Faculty has actioned an enrolment or withdrawal for you, you should still check your enrolment details are correct through the Current Enrolment link on eStudent.

Subjects with quotas

You can enrol online in most subjects with quotas. If you encounter any problems (other than prerequisite requirements for which you can request a waiver online), please contact the School that administers the subject (Townsville) or the Student Enquiry Centre (Cairns) to register your interest in it. We recommend you do this as soon as possible after enrolment begins.

Requisites

eStudent automatically checks requisites requirements for subjects, which may block your subject enrolment/s. If you are notified that you have not met a requisite, and you feel you meet the requirements, you can apply for a requisite waiver online, or you may choose to change to a different subject (unless it is a core component of your major or course).

To check that you have enrolled successfully, always visit your Current Enrolment page in eStudent. If you need some more information, or help with this go to the requisite page on the JCU website.

Subject Availabilities

When you enrol in your subjects you will need to choose the subject availability, this includes location, study period and mode of delivery (attendance modes). It’s a good idea to jot these details down as you plan your subject selection and have them handy when you enrol online.

If you can't find a subject you expect to be available, or you feel that you should be able to enrol in a subject and cannot, you will need to contact your Faculty Office from your JCU email account.

Do I receive any printouts as confirmation of my enrolment?

No, printouts are not forwarded to you from the university but you can view your current subject enrolment on the Current Enrolment page in the My Study Plans menu of eStudent. You can request to have an official Enrolment Advice emailed to you from the Current Enrolment page. This document is acceptable by Centrelink, and can be used to support Tertiary Transport Card applications.
