Update Personal Details

It is important you maintain your personal details to satisfy reporting requirements and so that you incur the correct fees, receive all important JCU information, and your name appears correctly on your Graduation Certificate (testamur).

Submit a Change of Personal Details request online (student login required). Please include appropriate certified documentation, such as a certified copy of birth or marriage certificates. Please have this documentation ready before you complete the online form.

If you are a Commonwealth-supported student or access a HELP loan, submit a new HELP form in MyStudent with your new details. If eligible to defer payment, submit a separate SA-HELP form too.

Once you receive confirmation that your name change has been actioned:

  • Present your old ID card to the Student Centre to have a free replacement Student ID card produced.
  • Email centralservices@jcu.edu.au from your JCU email account if you want to change your email address and include your full name, date of birth, student number and address in the request.

The Change of Name request can also be used by students who have adopted a nickname, but have not officially changed their given name. Your preferred name will be used in all your email correspondence from JCU and on class lists, but it will not appear on your Student ID card (your formal name will be used in this instance).

Your Formal Name appears on your Graduation Certificate (testamur). Check it is recorded correctly in MyStudent well before you graduate. A minimum of 15 working days is required to process name change requests prior to the date of your Graduation ceremony or Council meeting (if in absentia).

It is important we can contact you during your studies at JCU.

Under the conditions of their visa, international students are required to provide a semester residential address as soon as possible after arriving in Australia.

You must maintain the following contact details in MyStudent:

  • Phone numbers
  • Semester residential address – where you live while studying
  • Home residential address – where you live when you are not studying
  • Emergency contact address – where your emergency contact person lives

Please ensure you have listed an address against each of these address types. If it’s the same address, the copy function makes it fast.

Nominate which is your preferred mailing address and add a temporary address if you are going on holidays during semester break.

It is important that you provide the name, phone details and relationship to you of at least one person we can contact in the unfortunate case of an emergency (such as accident, injury or health problem) while you are on campus.

Enter these details under Emergency Contacts in the My Details tile in MyStudent.

Please also add this person’s address under Emergency Contact Address in the Contacts section.

At JCU, we are committed to maintaining an inclusive, respectful, and supportive environment for all students. We recognise that gender is personal and may change over time.

If you would like to update the gender information recorded in your student record, please submit a Change of Personal Details request online (student login required). This request can also be used to update your name or title. JCU offers the gender diverse title of 'Mx'.

Any information you provide will be handled confidentially and in accordance with JCU's privacy obligations.

Supporting Documentation

If you are requesting a change the gender information on your student record, or if JCU is required to verify your gender to confirm your identity or eligibility for a service or entitlement, any one of the following documents will be accepted as evidence of your affirmed gender:

  • A statement from a registered medical practitioner or registered psychologist that specifies your affirmed gender.
  • A valid Australian Government travel document, such as a passport, that specifies your affirmed gender.
  • A state or territory birth certificate that specifies your affirmed gender.
  • Documentation from a state or territory Registrar of Births, Deaths and Marriages that recognises a change of sex and/or gender.

You do not need to have undergone gender affirmation surgery or hormone therapy for JCU to recognise a change of gender in your student record.

When Documentation Is Not Required

No supporting documentation is required if you select:

  • Non-binary
  • I use a different term
  • Prefer not to answer

Commonwealth Supported Students and HELP Loans

If you are a Commonwealth Supported student or access a HELP loan, once your gender has been updated you will be notified and asked to submit a new HELP form in MyStudent to match your updated details. If you are eligible to defer your Student Services and Amenities Fee, you should also submit a new SA-HELP form.

Submit a Change of Citizenship request online (student login required), attaching documents that prove your change of citizenship/residency (such as a certified copy of your citizenship certificate, Immigration Grant Notification or permanent residency visa). Have this documentation ready before you commence.

If you are, or will become, a Commonwealth-supported student or become eligible to access a HELP loan, submit a new HELP form in MyStudent with your new details. If eligible to defer payment, submit a separate SA-HELP form too. Find out more on the Fees and Financial Support pages.  Commonwealth support or access to HELP will only apply to subjects where the Census Date has not yet passed.

Submit a Change of Personal Details request online. You must provide a birth certificate, passport, driver’s licence, or photo ID showing date of birth.  Have this documentation ready before you commence.
